Better
Phone Messages
In the past, we've
offered some suggestions on how to get the most out of your voice
mail messages. We've focused on important topics, such as making a
list of the points you want to cover and being certain to repeat your
contact information.
But, besides knowing
what you're going to say you need to know how you're going to say it.
Use the following tips to make your message the one that gets
returned:
& Take your
time.
Since you have rehearsed
your message and clocked yourself, you know you won't run out of
"tape." Speak slowly so that the prospect will be able to understand
your words and comprehend your message.
& Get comfortable at
your workstation.
Before you dial, make
certain you have everything you need and that you are comfortable. If
your phone cord is tangled or if you need to search for a pencil,
your frustration may be evident in your voice.
& Try to avoid um,
uh, and ahem.
A slight stammer or
pause is usually overlooked in one-on-one conversations but,
unfortunately the ums and uhs become more pronounced when committed
to recordings or replayed.
& Have a glass of
water handy.
Just in case you get a
frog in your throat!
& Enunciate clearly
and exaggerate your words slightly.
The prospect should be
able to understand your message on the first try; don't assume they
will go to the trouble of listening to the message twice.
Additionally, the quality of voice mail systems differ and even the
clearest speaker's message can get garbled.

Relax
If you're tense it will
reflect in your voice, but if you're at ease, the prospect will be
too!
